Outlook
With Outlook the model summarises your emails, saves replies as drafts and prepares meetings, but it never sends an email itself.
Connect Outlook so the model can search and summarise your emails, read your calendar and save replies as drafts in your mailbox. Nothing is sent without you: you send drafts yourself, and invitations only go out once you confirm a card in the chat.
Connecting Outlook
Open connected accounts
Click your name at the bottom of the sidebar, then Account settings, and scroll to Connected accounts.
Click Connect
Click Connect next to Outlook (mail & calendar) and sign in at Microsoft.
Confirm the access
Confirm the permissions for email and calendar. If your organisation requires approval, your account settings show the Approval link for administrators. The procedure is the same as described under Microsoft 365.
What the model can do with Outlook
| Task | What happens | What you see in the chat |
|---|---|---|
| Search and summarise emails | a search by sender, subject or content, or the latest emails | Searching e-mails… |
| Read emails in full | text, recipients and attachment names | Reading e-mails… |
| Read the calendar | events in a date range, for example to find free slots | Checking the calendar… |
| Draft a reply or a new email | a draft in the Drafts folder, never sent | Writing an e-mail draft… |
| Create an event in your calendar, when you ask for it | an entry straight in your calendar, without attendees and without an invitation | Preparing a meeting invitation… |
| Propose a meeting with attendees | nothing is created until you confirm the card | Preparing a meeting invitation… |
Below the finished reply it says Outlook consulted. The model only uses your own mailbox and your own calendar. Nothing is deleted or moved.
Having a reply drafted
Describe the task
Write, for example: "Find the latest email from Andrea Sutter about the annual invoice and draft a friendly reply. Confirm the meeting on Thursday."
Watch what happens
The model finds the email, reads it and writes the draft. The draft stays in the same email thread and keeps the recipients. In its reply the model usually gives you the link to the draft.
Check in Outlook and send it yourself
Open the draft in Outlook, read the text and the recipients, and send it yourself when everything is right.
Confirming a meeting with invitations
Ask for the meeting
Write, for example: "Invite Andrea Sutter ([email protected]) to a one-hour meeting about the annual accounts on 24 September at 2 pm."
Check the card
The card Confirm meeting invitation appears in the chat with the subject, time, location, Invitations to: and, if there is one, Message to the invitees:. Nothing has been created or sent yet.
Confirm
If everything is right, click Create & send invitations. Outlook creates the event and sends the invitations from your account. Afterwards you see Event created, invitations sent. and the link Open in Outlook.
If something is wrong, do not click the button; ask the model for a correction instead. If the card shows placeholders such as <EMAIL_1>, they are replaced with the original values when the invitation is sent.
Attaching emails or importing them into a brain
In chat, click + and Outlook (mail & calendar); in a brain, click Add sources and Outlook (mail & calendar). The Import an e-mail from Outlook window shows your latest emails, or you search by sender, subject and content. Open an email and choose Import message text or a file under Attachments.
An imported email no longer changes, so it is not refreshed from the source. More in Adding sources.
Data protection
- What the model reads from your emails and calendar goes through your workspace's protection mode like an attachment. In Pseudonymise mode the model sees names and addresses as placeholders. In Block mode Custodos withholds an email containing a hard identifier such as an IBAN.
- In your draft and your event, Custodos writes the real values instead of the placeholders. These texts only end up in your own mailbox.
- In security mode, when the credits are used up and with models that do not support tools, the model does not use Outlook.
Disconnecting
In your account settings, click Disconnect next to Outlook (mail & calendar). Custodos deletes the connection immediately. If you want, remove the consent in your Microsoft account under the apps with access (myapps.microsoft.com). Emails you have already imported stay in the brain.
Frequently asked questions
No. Custodos does not request permission to send, and it neither deletes nor moves anything. The only thing that leaves your mailbox is a meeting invitation you confirmed yourself on the card.
Your connection dates from a time when Custodos was only allowed to read the calendar. In your account settings, click Disconnect and then Connect again.
Check whether Outlook still shows Connected in your account settings. If the connection has expired, connect again. In security mode, when the credits are used up and with models that do not support tools, Outlook is not available in chat.
No. The model only works with your own mailbox and your own calendar.
